How can I make bulk changes with Focus AI?


Updating things one by one takes time, and with a long list it's easy to make mistakes. Focus AI lets you change many contacts, companies, deals or quotations at once, and gives you a clear overview of what will change before anything is actually updated. Read all about it here.
 

What you can change in bulk

You can give Focus AI almost any bulk instruction. Tell it what you want to change and it will show you what it found.

Prompt examples:

  • "Mark all sent deals older than 3 months as lost."
  • "Show me all deals that do not have [this field] filled in."
  • "Find all quotations that expired this month but have no status and mark them as refused."
  • "Tag all companies in sector X as high priority."

How bulk changes work in Focus AI

  1. Before actually making any changes, Focus AI first looks up all the results that match your instruction.
  2. It then tells you exactly what will change: how many items, which field, and what value. If there are more than 100 records, it shows you a sample of 10 plus the total count.
  3. You approve once and Focus AI works through everything in batches.
  4. If something goes wrong with one item, Focus AI skips it and continues with the rest. When it's done, it reports back exactly what was updated and what was skipped, and why.
     

Things to know about bulk actions

  • For “destructive” actions like deleting items or deactivating contacts, Focus AI always shows you the full list before proceeding, not just a sample. If the number of matching items looks unexpectedly high, it will remark that before asking for your approval.
  • Focus AI can only update items you have access to. If your user permissions in Teamleader Focus are limited to certain modules e.g. deals, contacts or companies, the bulk change will only apply to the items you have access to.
