Keeping time tracking up to date is one of those things that's easy to forget when you're busy. Focus AI helps on two fronts: you can add and edit your own time trackings directly from the chat, and you can check whether your team's time tracking is complete such as spotting days with missing time tracking, time tracked on the wrong project, or hours that don't add up. So whether you're adding time yourself or making sure your team hasn't missed anything, you can catch the gaps before anything gets invoiced incorrectly.
Add and manage time tracking
Open Focus AI and describe what you want to add or find.
Prompt examples:
- "Log 2 hours on project X for today."
- "Add 3 hours of time tracking for customer X yesterday."
- "Show me all the time I've logged this week."
- "Which hours have I tracked on this project this month?"
- "Update my time tracking from this morning - it should be 1.5 hours, not 2."
- "Delete the time tracking I logged for project X on Monday."
If you're already on a project or customer page in Teamleader Focus, you don't need to name it. Just say "log 2 hours on this project" and Focus AI knows what you mean.
How Focus AI handles your time tracking
Regarding time tracking, Focus AI can:
- Log new time trackings
- Update or delete existing time trackings
- Give you an overview of tracked time, filtered by project, customer, user, or time period
- It works with the work types already set up in your account
Check if your team's time tracking is complete
Next to managing your own time tracking, you can also analyse the time tracking of your team. Ask Focus AI to compare your team's calendar against their tracked time. It will flag days where meetings took place but nothing was tracked. It will also highlight time trackings that don't look right, like time tracked on the wrong project, unusually long time trackings, or suspiciously round numbers that suggest estimations rather than actual tracked time.
Prompt examples:
- "Check the time tracking of colleague X for last week - are there any gaps?"
- "Flag any time trackings where internal work was logged as billable."
- "Are there any time trackings this week that look unusual?"
Shortcut: use the Time tracking auditor Teamleader Skill
For a full audit of your team's time tracking, the Time-tracking auditor Teamleader Skill goes through everything systematically: gaps, anomalies, and time trackings that need correcting. Focus AI then offers a solution for each one.
Find it under Focus AI > Skills > /time-tracking-auditor. Click Use skill to start, or type /time-tracking-auditor in any Focus AI chat.
