Can I add extra text to my document templates?

Teamleader Focus already offers a wide range of default shortcodes that allow you to add extra information to your documents. On top of that, you can also create additional dynamic shortcodes tailored to your specific needs. In this article, you’ll discover the two ways to create your own shortcodes in Teamleader Focus, as well as how they differ from using fixed text.

Fixed text

You can use fixed text in your templates when you want to add static content to your documents. This is useful for text that never needs to change and remains the same for all customers, regardless of for example language.

Custom fields

If you need dynamic information that changes per customer or per document depending on what you fill out, you might consider using custom fields and their shortcodes respectively.

When you create a custom field via Settings > Custom fields, a shortcode will automatically be created. It will then appear in the list of shortcodes available in Settings > Document layout. In this example, a shortcode on contact level was created for the second email address of a contact. It now appears as $CUSTOM_FIELD_402616$ in the available shortcode list:

If you add this shortcode to your template, the second email address of the contact will be generated on your document. Be sure to also check out which custom fields work on which template

 

Custom shortcodes 

In case you need an extra fixed text on your template, but you need it to be translated automatically, this is your solution. Which language is used, is based on the language of your customer.

  1. Go to Settings > Document layout
  2. Choose a document type, for example ‘Quotations’
  3. Click below the preview on View shortcodes
  4. Scroll all the way down to Create extra shortcode and click on it:
     
  5. Give your shortcode a name and a default value.
    Be sure to add the NAME of the shortcode in capital letters, otherwise the shortcode won't work.
    Note: The shortcode will be in the format $EXTRA_XXXX$, don't forget to add the dollar signs to your template as well.
  6. You can add one or several translations by clicking on Add translation.
  7. Click on Save.
  8. Add the shortcode to your template and the (translated) value will be displayed on your document.
