Export invoices or credit notes to DATEV in Teamleader Focus

 

If you are a German Teamleader Focus user who uses DATEV as your bookkeeping system, you can export your invoices and credit notes directly from Teamleader Focus as a standardised DATEV Buchungsstapel CSV file, ready to upload into DATEV.

With the DATEV export, there's no need to manually re-enter your invoices and credit notes in DATEV. You generate a standardised CSV file in just a few clicks and upload it straight into DATEV, saving time and reducing the risk of errors.

Important note: There's also the possibility to, instead of using an export like described here, you can send your invoices and credit notes to DATEV via your bookkeeping email address like explained in this article.

 

Who can use the DATEV export

The DATEV export feature is only available if:

  • Your account has at least one active German entity, and
  • You have invoice & credit note access and the export user permission.
     

If both conditions are met, the DATEV export option will be visible in the invoice list and credit note list.

 

Configuring your DATEV settings

Before you can export to DATEV though, you need to configure DATEV-specific settings per German entity. This is a one-time setup.

  1. Go to Settings > Revenue. A DATEV section appears if your account has at least one German entity and you have access to Revenue settings.

  2. Configure the following per company entity:
    • Consultant Number (Beraternummer): your DATEV advisor number (5–7 digits).
    • Mandate number (Mandantennummer): your DATEV client number (1–5 digits).
    • Offset ledger accounts (Gegenkonten): configure an offset account per VAT rate. This maps your Teamleader Focus ledger accounts (Sachkonto) to DATEV offset accounts (Gegenkonto) for each VAT rate you use. 

      Notes: 
      • If an entity is deleted, its settings are preserved so historical exports remain valid.
      • Don’t forget to also set up your ledger accounts in Teamleader Focus, in Settings > Revenue > Ledger accounts.

 

Exporting invoices and credit notes to DATEV

  1. Go to Revenue > Invoices or Credit notes and click Export in the top right corner.
  2. Choose Export to DATEV.
  3. Select the posting period (date range) you want to export.
  4. Select the company entity from the dropdown. Only German entities are shown; one export covers one entity at a time.
  5. Click Export. The file will download as EXTF_Buchungsstapel_[YYYYMMDD]_[YYYYMMDD].csv.
  6. This file can be uploaded directly into DATEV.
     

Notes

  • Only booked invoices or credit notes are included, drafts are excluded.
  • To avoid processing errors in DATEV, ensure that your export remains within a single fiscal year, as exporting across multiple fiscal years will give issues.
  • Invoices and credit notes are always exported as separate files, they are never combined in one export.
  • Only invoices or credit notes can be exported to DATEV, for expenses this is not possible.
