Focus AI is the AI assistant built into Teamleader Focus. It helps you get more done in less time without switching between tools, copying data, or repeating the same manual steps. You describe what you want, and Focus AI takes care of it: drafting a quotation, following up on a deal, pulling together a customer briefing, invoicing unbilled work, or making bulk changes across your account. Why Focus AI
The information you need is already in Teamleader Focus. The problem is that pulling it together, acting on it, and keeping everything up to date takes time that could be spent on actual work. Focus AI closes that gap. Instead of clicking through screens, copying data between fields, or tracking down what happened on a deal three weeks ago, you just ask. Focus AI finds the answer, drafts the output, or makes the change. Then, you review and approve.
It's especially valuable for work that is repetitive but important: following up on open quotations, checking which invoices are overdue, making sure your pipeline is clean, logging a call before you forget. The kind of tasks that always end up at the bottom of your list. Focus AI handles the execution; you stay in control of every decision.
What Focus AI can do
You can use Focus AI for almost anything you'd normally do manually in Teamleader Focus. It works across every part of your business, from managing your pipeline to getting invoices out to keeping your projects on track. What’s more is that you can even ask Focus AI itself what it can help you with:
Nevertheless, here’s a non-exhaustive list of what Focus AI can do:
- Sell more, with less admin: get a prioritised overview of deals that need follow-up, draft follow-up messages, move deals to the next phase, marking deals as lost or pull together a full customer briefing before a meeting.
- Get invoices out on time: find everything finished but not yet billed, projects that have gone over budget, and create draft invoices in one go.
- Stay on top of your projects and time: run a health check across all running projects (which ones are over budget, which tasks have not moved), add or review time tracking, and check whether your team's hours are complete.
- Keep your CRM and pipeline clean: find missing fields, companies that appear twice, or incomplete contacts and fix them in batches.
- Answer questions about your business: get a revenue overview, compare months, or find out which customers you haven't been in touch with since their last invoice was paid.

Focus AI always asks before it acts
After you’ve interacted with Focus AI, it proposes actions and then you always decide:
- Before anything is created, edited, or deleted, it shows you a clear preview and waits for your confirmation.
- Every action is logged in the activities of every detail page (a contact, a deal, an invoice, ...) so you always have a full history of what happened and when.
- After completing a task, Focus AI suggests logical next steps based on the context, like registering a payment or creating a follow-up task. The suggestions are there when you need them; you're never pushed into one.
Who can use Focus AI
Before anyone in your account can use Focus AI, an admin needs to activate it by going to Focus AI in the navigation menu on the left and clicking on Activate Focus AI.
Once Focus AI is activated for the account, it is activated for all users. User access is managed per user in Settings > Users > [user] > Permissions, under the AI section. An admin can enable or disable Focus AI for each user individually.
Within Focus AI, there is a second permission: Manage business preferences. This controls who can edit the Business context and Business instructions. Any Focus AI user can always manage their own personal preferences regardless of this setting. Read more in Personalise Focus AI for your business and yourself.

Where to find Focus AI
You can find Focus AI in the sidebar of Teamleader Focus, or click the Focus AI icon in the bottom right-hand corner of your account to open the chat from anywhere in Teamleader Focus.
- Focus AI is also available on the Teamleader Focus mobile app.
- Focus AI is available in all languages supported by Teamleader Focus.
You can start a new conversation at any time. Previous conversations are saved in your chat history and are only visible to you, no one else in your account can see them. You can rename or delete any conversation from your chat history at any time.
Access the chat history by either;
- Navigating to Focus AI > Chat or;
- Opening a new conversation and clicking on the clock icon.
Focus AI also reads the context of the page you're on. If you're looking at a customer, a deal, or a project, you can simply say "this customer" or "this deal" and Focus AI knows what you mean.
AI credits
Using Focus AI uses credits.
- AI credits are allocated at account level and shared across all users
- Each user also has a daily limit to prevent one person from using up the full account allowance in a single day.
- The amount of free monthly AI credits depend on your package:
- 100 AI credits for Go and Smart
- 200 AI credits for Move and Grow

Data privacy & security
