The longer a project runs, the harder it gets to keep the full picture in your head. Is the budget still on track? Are tasks moving? Has work crept outside the original scope? Ask Focus AI and it gives you an overview of all your running projects at once, ranked by what needs your attention most. Read this article for an overview on what to ask Focus AI and what Focus AI checks.
What to ask
Open Focus AI and ask for an overview of your running projects. This can be as broad or as specific as you like.
Prompt examples:
- "Give me a health check on all my running projects."
- "Which projects are over budget or close to it?"
- "Are there any projects with tasks that haven't moved in the last two weeks?"
- "Which projects have tracked work that wasn't in the original quotation?"
- "What's the last activity on project X?"
If you want to go deeper on one project after the overview, just ask: "Tell me more about project X" and Focus AI will break down exactly where the issues are.
What Focus AI checks
For each running project, Focus AI looks at:
- Budget used compared to how far along the project is in time
- Tasks that are overdue or haven't moved in 14 days
- Time tracking that falls outside the original quotation
- When the last activity was logged
It then ranks projects by how much attention they need, worst first, so you always know where to start.
From overview to action
Once you have the picture, Focus AI can help you act on it. Ask it for example to write a note to the project owner, create a follow-up task, or update the project. That way, nothing gets missed.
