A good quotation takes time to put together. Focus AI takes care of it: give it anything to work with and it drafts the quotation for you, using your own articles, templates, and previous quotations for this customer. Read this article to learn how to create and send a quotation faster via Focus AI.
What to give Focus AI
You don't need to fill in a form or follow a specific structure to let Focus AI create your quotation.
Prompt examples:
- "Create a quotation for customer X for 3 days of consulting at our standard day rate."
- "Here are the meeting notes from today. Can you turn this into a quotation?"
- “This is the email from my customer email with their request. Build a quotation now.”
- “Make a copy of the quote I sent to Customer X and adjust it for Customer Y. Change [specific line items or scope].”
- "I am on this deal page. Based on the latest meeting notes here, can you draft a quotation for the requested services?"
If you're already on the customer's page or an open deal in Teamleader Focus, you don't need to explicitly name them. Just say "create a quotation for this customer" and Focus AI knows who you mean.
What Focus AI takes into account
Before sending a draft, Focus AI:
- Checks your products to match the right line items and prices
- Looks at previous quotations for this customer to match structure, numbering style, and tone
- Picks the closest matching quotation template in your account
- Takes any existing discounts for this customer into account
- Applies 21% VAT by default, unless your products or customer history says otherwise
- Writes in the same language as your previous quotations, or keeps it short and professional if there's no history yet
If a critical piece of information is missing, like no customer identifiable, no price derivable or VAT rates missing, Focus AI will ask you questions to fill the gap. It won't ask for anything your account already knows. It might look like this, e.g. asking for what your day rate is:
Good to know
Focus AI works with the products already in your product module. If a product isn't in your catalogue, Focus AI can add it as a free-text line item on the quotation, but it won't be saved to your products database. To add new products, you'll need to do that manually in Teamleader Focus.
Review before sending
Focus AI always shows you the complete draft (line items, quantities, prices, VAT, total) before anything happens. You review everything, adjust where needed, and confirm. Nothing is sent without your approval.
After you approve, Focus AI will offer a follow-up action: either link the quotation to the open deal, or set a follow-up task if the customer hasn't responded within 5 working days.
