Most lost deals aren't lost because the customer wasn't interested. They're lost because nobody followed up in time. The busier you get, the easier it is for deals to go quiet and quotations to stay unanswered. Focus AI gives you a clear overview of what needs your attention and helps you act on it, so you can follow up at the right time without having to dig through your pipeline manually. And when deals do get lost, Focus AI can help you understand why by analysing patterns.
Get an overview of what needs follow-up
Open Focus AI and ask for an overview of what's still open. You can be as broad or specific as you like.
Prompt examples:
- "Which deals haven't had any activity in the last 2 weeks?"
- "Show me all quotations that are still open and haven't been accepted."
- "Which customers haven't responded to a quotation in the last 10 days?"
- "What deals are stuck in the proposal phase?"
- "Give me a list of everything I should follow up on this week."
- “Which open quotations have been waiting more than 3 weeks? Rank by value. I want to follow up today.”
If you're already on a deal or quotation page in Teamleader Focus, you don't need to name it. Just ask "what's the status of this deal?" or "has this quotation been viewed?" and Focus AI knows what you mean.
Prompting tip: The scope of your overview depends on what you ask Focus AI. Asking about "My deals" will only show the deals that are assigned to you. "Our/the deals" covers the whole account. Read all about writing a good prompt here.
Draft a follow-up message
Once you know what needs attention, Focus AI can help you write the follow-up straight away. Tell Focus AI what you need and it will draft a message you can review and send:
- "Write a friendly follow-up for this quotation", for example like this:
- "Draft a short message to check in on the deal with X - we've been waiting for a decision for 2 weeks."
- "Write a reminder that the 10% discount on this quotation expires on Friday."
Focus AI writes the draft based on the context in your account. It automatically uses the customer's language, though you can always ask for a different language. Once you're happy with it, send it yourself or let Focus AI send it for you.
Keep your pipeline clean and learn from it
After a follow-up, ask Focus AI to handle the admin side: create a note, move the deal to the right phase, or plan your next touchpoint. You can also mark deals as lost directly: Focus AI will ask for a lost reason and take care of the rest.
Once deals are marked as lost, Focus AI can look at the patterns across the last 12 months, such as recurring lost reasons, deal sizes and sectors. This way, you're not just keeping your pipeline clean, you're learning from it.

- "Go through my open deals and mark the ones with no recent activity as lost."
- "Show me the main reasons we've been losing deals over the last 12 months."
- "Close the deals with no activity in the last 6 months and collect the lost reasons."

Shortcut: use the Follow-up radar Teamleader Skill
If you want a structured overview of everything that needs following up, the Follow-up radar Teamleader Skill is built for exactly that. The skill checks four things: open deals that are overdue for follow-up based on what their phase allows (nothing logged, nothing planned ahead); open deals whose expected closing date has passed; quotations sent but still open; and open quotations expiring within the next 7 days. It presents the results as a ranked list, the most urgent first.
From here, you can create follow-up tasks, draft emails, or mark deals as lost. Each action type is approved once and then executed as a batch. Follow-up emails are always reviewed per recipient before anything is sent.
