Focus AI works like a conversation: think of it as a highly capable assistant that already knows your business and how you work in Teamleader Focus. You type a prompt, and Focus AI responds and acts. No special commands, no technical knowledge required. The only thing that shapes the quality of the result is how clearly you brief it. And just like a colleague, the more context you give, the better.
You can't break it, so just start
A prompt is basically an instruction, a question or a cue you give to Focus AI. If you've never used Focus AI before, don't overthink your first message. Type what you'd say to a colleague. Focus AI is designed to handle natural language, so there's no wrong way to begin. Not sure how to phrase something? Ask it directly: "I want to achieve X - what's the best way to ask you this?"
Be specific about what you want
The more information or data there is in your account, the better Focus AI can help you. Similarly, the more detail you give in your prompt, the more useful the result. And what's more, Focus AI knows where you are: it reads the context of the page you're on. If you're looking at a customer, a deal, or a project, you can simply say "this customer", "this deal", or "this project" and Focus AI will know what you mean. No need to type out names every time.
- Instead of "show me my invoices", try "show me all overdue invoices from the last 3 months."
- Instead of "follow up with this customer", try "send a friendly reminder to X that quotation 2024-05 is still open and the 10% discount expires this Friday."
Think of it the way you'd brief a new colleague who knows Teamleader Focus inside out but doesn't know your day.
Follow up and refine
The first result is rarely the final version. If it's not quite right, just say so. You can follow up with things like "make this shorter", "make the tone less formal", or "add a note about the deadline." Focus AI keeps the context of your conversation, so you don't need to repeat yourself.
When Focus AI doesn't give the result you expected
If refining your prompt doesn't get you where you need to be, try rephrasing your request from scratch. Sometimes a different angle works better. Being more explicit helps: specify the format you want, the scope, or what you don't want. You can also ask Focus AI directly: "What information do you need to give me a better answer?"
Keep in mind that Focus AI is an AI and can make mistakes. Always review the output before acting on it, especially before sending a message, making a bulk change, or creating items. If something doesn't look right, don't approve it.
