This article gives an overview of the different ways you can manage your financial data and collaborate with your bookkeeper in Teamleader Focus. Whether you want a fully automated sync or want to use our forwarding functionality, we’ll go over the options here so you can choose the one that best fits your workflow.
Managing your finances in Teamleader Focus can be done in two main ways: by using the Accounting connector Booster for a deep, two-way integration, or by using our forwarding to the bookkeeper functionality (email copies) combined with Ponto for payment tracking.
Option A: The Accounting connector Booster
The Accounting connector Booster is designed for businesses that want a seamless, automated link between Teamleader Focus and their accounting software (Yuki, Exact Online, or Octopus.
- Why choose automated sync: Automated sync is the most efficient choice because instead of remembering to forward emails or manually checking if an invoice reached your accountant, the Booster ensures your data is synced automatically. This eliminates the risk of missing documents and ensures your financial reporting is always based on the latest figures.
- How it works: It automatically syncs data in the background (or manually with one click) directly into your accounting tool and back.

Benefits:
- Automatic sync: Invoices, credit notes, and Peppol expenses are sent directly to your bookkeeping software.
- Payment sync: This is the most complete option for payment tracking. When any document, whether it’s an outgoing invoice/credit note or an incoming expense, is marked as paid in your accounting tool, the status is automatically updated in Teamleader Focus.
- Reduced manual work: Customer and supplier data are created or updated automatically in your accounting tool.
- Accuracy: Ledger accounts and VAT rates are linked correctly per company entity, minimising errors.
- Cost: A fee of €5/month (yearly license) or €6/month (quarterly license) per account.
- Best for: If you use Yuki, Exact Online, or Octopus, this option is the best and most recommended choice. It is the best way to eliminate manual exports and keep both systems perfectly in sync.

Option B: Forwarding to bookkeeping & Ponto
If you do not use one of the supported accounting integrations from the Booster, or prefer to keep things simple, you can use built-in forwarding features to keep your bookkeeper informed.
1. Sending expenses to your bookkeeping
Instead of a direct sync, you can forward your expenses to your bookkeeper’s email address or to the email address of your bookkeeping tool.
- How it works: You set a specific "bookkeeping email address" in your expense settings. Once an expense is approved, you can send it with one click (or set it to autoforward after 1 hour).

Benefit: You stay in control of what gets sent, and your bookkeeper receives a PDF or UBL file directly in their inbox or accounting software.

2. Forwarding outgoing invoices
You can ensure your bookkeeper receives a copy of every invoice you send to a customer.
- How it works: Under Settings > Revenue > Preferences, you can add a "bookkeeping email." Teamleader Focus will automatically BCC this address whenever you email an invoice or credit note to a client.

3. Syncing payment status via Ponto
Since Option B doesn't include the automatic payment sync found in the Accounting connector Booster, you can use Ponto to bridge the gap.
- How it works: Ponto connects your bank account to Teamleader Focus. It checks your transactions 4 times a day and matches them to your outgoing invoices based on the payment reference.

Benefit: Your outgoing invoices are automatically marked as "Paid" in Teamleader Focus as soon as the money hits your bank account, without you having to check your banking app manually.
! Unlike the Booster, Ponto only syncs payment statuses for your outgoing invoices. It does not track the payment status of your incoming expenses/supplier invoices.
