Send invoices to DATEV via bookkeeping email

 

As DATEV is the standard for professional accounting in Germany, we've made it easy to sync your data directly with their platform. By using our functionality to send invoices and credit notes to your bookkeeping email, you can automate your workflow and ensure your bookkeeper receives every document in real-time, without needing extra software. 
 

How To

Before you begin, ensure you have access to your DATEV admin console and the settings in Teamleader Focus. 

 

1. Generate your DATEV upload mail

First, you need a unique destination for your documents. Log into your DATEV portal to retrieve your personalised DATEV email address. It will look something like this:

2. Configure bookkeeping email settings

Navigate to the Teamleader Focus Settings. Go to Revenue > Preferences and click on Add bookkeeping emails.


Enter your unique DATEV email address from step 1 into the field. This ensures that every time an invoice or credit note is sent to a client, a copy is automatically routed to your DATEV account.
 

3. Set your invoicing email

Now, define the sender email address you want to use for your invoices and credit notes. This is the "From" address that your customers and DATEV will recognise. Go to Settings > Company information > click on the name of your company entity > Edit > ‘Company details’ > ‘Invoicing email’.


 

4. Domain authentication

To ensure high deliverability and professional authentication, you must configure your custom domain. This is the best way to ensure that your invoices never get flagged as spam and arrive safely in your DATEV document inbox. Read all about that here. 

Tip: Since this involves your domain’s core infrastructure, you may want to coordinate with your system administrator or IT partner to ensure the records are implemented correctly.
 

5. Verify the sender in DATEV

For security, DATEV only processes documents from authorised senders.

  • Log into the DATEV admin console.
  • Add the email address you established in Step 3 to the authorised senders list to ensure your invoices are accepted.
