How do I add a PO number?

E-invoicing is set to become mandatory in all European countries by 2030.

In Teamleader Focus, you can easily add PO numbers to deals, order confirmations, delivery notes, invoices, subscriptions and projects, and ensure they are automatically carried over where needed. This article explains how to activate the PO number feature and use it throughout your workflow.

 

Activate the PO number feature

Before you can start using PO numbers on your documents, you have to enable the feature in Settings:

  1. Go to Settings > Revenue
  2. In Preferences, enable the toggle “Use PO numbers on your Invoices”.

 

Deals

  • When you've enabled the PO number toggle in Settings, the PO number field will be displayed when adding or editing a deal. 

  • Make sure to place the shortcode $QUOTATION_PO_NR$ on the template of your quotation if you want the PO number to be displayed on your quotation.

  • Know that the PO number you add in a deal will also be taken over in the PO number field of the invoice when you convert a deal to an invoice. 

  • The PO number on a deal will also be transferred to the PO number field of a project whenever you decide to convert your deal to a project.

 

Order confirmations & delivery notes

When you create an order confirmation for a deal that already has a PO number, this number will automatically be copied to the order confirmation. If no PO number is available yet, you can enter it manually in the 'PO number' field when creating the order confirmation:

To display the PO number on your order confirmation, use the shortcode $ORDERCONFIRMATION_PO_NR$ on your order confirmation template.

 

For delivery notes, it’s not possible to enter a PO number during creation. Instead, make sure the PO number is filled in on the order confirmation and add the shortcode $ORDERCONFIRMATION_PO_NR$ to the delivery note template.
 

Note: It’s not possible to add a PO number to an order.

 

Invoices

To add a PO number to your invoice, follow these steps:

  1. Create a new invoice or open an existing one.

  2. When you create or edit* an invoice, you will find the PO number field there OR you can click the three dots on the top of the invoice page next to "Info" and select Enter PO number to add it.
    *Note: When you've disabled the editing of booked invoices, it isn't possible to add a PO number anymore. Read more here.




     

  3. To then add the PO number to your actual invoices, go to Settings > Document layout > Invoices and add the shortcode $INVOICE_PO_NR$ to your Word template.

 

Note that you can also add the PO number as a column to your invoice overview by clicking the little cogwheel in the lower right corner. 

 

The PO number is also available for exports to Excel or CSV. On top of that, invoices made from a deal or project will automatically take over the PO number filled in on that deal or project.

 

Peppol: In the UBL of your invoice, the PO number corresponds with the field 'OrderReference'.

 

Subscriptions

You can also add a PO number to your subscriptions, so this number is automatically filled in on the generated invoices.

This is particularly important for sending via Peppol, because the generated invoices will have the PO number filled in in the ‘OrderReference’ in the UBL. This means you don’t need to manually add the PO number after invoice creation.

Moreover, if a deal has a PO number filled in, this is taken over when converting the deal to a subscription.

 

Projects

Add a PO number to your project by adding the field to your project header and filling it out. 

 

The PO number on a deal will also automatically be taken over in the PO number field of a project whenever you decide to convert your deal to a project.
